I spoke with Xerox directly. Unofrtunatley they were not able to provide any additional information other than there are issues with the scan utillity for Windows 7 PC's. It was suggested I try setting up templates from an XP PC and this sadly worked on the first attempt. I say sadly because I am almost complete the process of phasing all of our old XP PC's out.
I do appreciate the help from those that offered. If anyone ever finds a way to get the scan utility templates operational from a Windows 7 PC, I would very much like to hear about it.

Thanks you to those of you that have tried to help me get past this issue. Unfortunately, it is not resolved. I have gone through the link provided for how to "Create a Template to Scan Images Directly to a Folder in the Xerox Scan Utility" but there is still no change.
At one point last week, 1 template did show up under my PC's name, however the template name was different from any I had created, and when a document was scanned, it didn't appear to go anywhere.
I have tried changing my filename to a short name with no spaces or special characters, as well as setting up templates to save to my PC local C: as well as our shared network K:. None of these tempates show up under the scan templates. I tried adding a password to my PC access to the phaser and the Phaser acknowledged that a password was now needed instantly upon trying to access tenplates listed under my local PC, howeverstill the only templates that show up are Default and one that appears to be a variation of a template name I created.
I understand scans can be moved off of the internal hdd via the CWIS interface, however this defeats the purpose of using this device in our office for scanning. We were looking to inprove our scanning quality and options without easy usability. Our current setup on our old Konica Minolta copier saves all scans to a public shared folder on our network with the click of one button. Retrieval is as simple as the user clicking on the shortcut to the folder on their desktop. To use the CWIS interface is adding additional steps and time.
I will try to contact Xerox to see if there are any other options.

Hi Colin_BC.
It has been suggested that you create public/private folders on the machine hard drive and retrieve your scans through CWIS.
You can contact technical support and they will try a few things over the phone but the best remedy is setting up public/private folder scanning. 1-800-821-2797

I searched the knowledgebase and found information on How To Create a Template to Scan Images Directly to a Folder in the Xerox Scan Utility. I know that isn't the problem you are having but thought that possibly there was a step missing in the setup.

Hmm, could it be a firewall issue? It should not be a problem, and the search function should just take a minute or so.

Hmmmm.... I'm at a bit of a loss here. I've followed the instructions provided by Xerox. I've setup the Xerox scan utility on a few PC's in the office. When I go directily to the 860MFP to scan, the list of PC's populates with the ones I have installed XSU onto, however when it goes to the next step to search for available templates, it either shows "Default" as the only available template (I have created multiple templates on each PC via XSU), or the display does not advance beyond "Searching for Templates." Currently, the 8860MFP has been "searching for templates" on the same PC for the past 15 minutes.
If anyone has any advise or suggestions for this, I would be grateful, although I'm starting to come to the conclusion that the MFP-functions on this 8860MFP are just for decorative marketing purposes to exposesthe 8860 to additional marketing demographics... :(

Thanks again for the reply. I am running Windows 7 (64-bit) on my work PC. Our main server is running 2008 R2, and the majority of our users are using Win7 (64-bit).
I uninstalled everything from Xerox and then reinstalled and everything almost looks ok. I now have the Xerox Scan Utility installed and I have followed the instrucitions in the link you provided.
I created and saved 4 different templates, all set to save to the same network folder location. When I scan however, I do not get an option of choosing any of my templates and all files are still being saved to the 8860MFP's internal 40GB HDD.
My primary goal is to have the default save location for any scnas pointing to a shared folder on our network storage drive (mapped as K:\Shared Folder\Scanned Documents\). My secondary goal is to give speicific users an option of scanning to a private folder which would be directly on their local PC HDD.
If you are able to assist with my primary goal, I would be appreciative. Thanks again for the help so far. I'm making some progress with your help :)

Unfortunately its part of the scan driver package, though if the scanner was installed beforehand.
You will have to uninstall everything, scan driver, scan utility(if this can be found in add & remove programs).
When this is done, you will need to install the scan package again.
Which OS do you have?
