All, While working on a fix to this issue with Xerox, We stumbled on an easy fix that seems to have held up to the test of time. Rather than point to the SMPT name, I switched to pointing the scan to the IP of the Google SMTP. Magic! it has been working ever since.

Do not use Google email server , Because sometimes Google mail server block the mail
you can use third party mail server i Facing the same thing befour and To
overcome the problem i use drivehq mail server to fix this and no need to enable SSL.. on the machine .

Did you do a network trace? I'm curious to see the logs - if any traffic is being processed at all. Usually processing is done locally on the machine before transferring...so this is indeed interesting.

i notices the same kind of problems, also with the latest spar (tested several)
with gmail , it stays in processing, with the smtp of the provider itself , no issues
so clearly a machine issue :)

This sounds more like a networking issue then a machine issue. Since it sometimes works and then sometimes it fails. I would recommend checking all network settings to make sure everything is correct. If you have service on your machine, you may want to give a call into the 1-800-821-2797 and ask for an Onsite Analyst Support. They can put a trace on your network to see what is happening.

Sorry for the late response. I tried the above fix of changing the SMTP with no luck. I currently have 4 WorkCentre 7545's which all have the same problem within the same school system. One has current release firmware and the other three have the latest SPAR release. On a fail, the machines stay in "processing" for about 3-4 minutes and then it will print out a failure report stating time out failure. On a success, the doc is scanned and then sent within 15-20 seconds. Also, scanning does not seem to be an issue as I can scan without problems.
Any help would be great.

Can you explain the 50% sucess? Are you getting an error scanning - can you scan?
Also upgrade your Xerox machine to the latest General Release which can be downloaded here.

Ok so just came back to the form to see any update and saw your post. My solution worked for me using Scan to Email using free Gmail account without SSL. Please note that the MFP I am using is Xerox WorkCenter 6015NI.
I know this device will not support SSL and i have confirmed it from Xerox tech. support.... but refused to give up on this device i have a following solution.
This is what I did (Gmail only):
1. login to the web admin page of the device
2. configure only the SMTP (Sending) part
3. I selected "aspmx.l.google.com" as my smtp
4. saved it and perfom tests
5. Caution:- this configuration works as long as the scaned file size is small
I did 200x200 color scan jobs in different formats and they all came to be my email just fine...BUT when i did 1 page 600X600 scan job it failed and i received a file size error.

I'm having an issue with scanning to email using Gmail on a WorkCentre 7545. I am currently getting about 50% success. Is there anything that can be done at the machine level to get my success rates to improve? I understand that gmail has been an issue but was wondering if anyone has had any luck.
