WorkCentre 4265 and Fax Server

Hi Everyone,

   I am new here. At one of our locations we have a WorkCentre 4265 that we have purchased the Fax Server kit for. This was done prior to me coming to work here. What I am trying to accomplish is to have an incoming fax delivered to a shared network folder on the server. The folder is set up and everything looks good there. I had the local tech from the copier company out to set up the functionality and after 3 hours I was told that even with the Fax Server kit, the machine can't transfer a fax to a folder. So basically my employer spend around $300 for functionality that does not work, at least possibly without some other component. Why the hell do they even sell something like this if it's not going to work? Is there anyone out there that has experience with this or has any ideas? The LACK  of online documentation for this Fax Server is maddening. I can tell you that if I am still here when it's time for new copiers, there is no way in hell I will buy a Xerox machine.

What you are looking for is actually Fax forwarding. And it is included as standard with the embedded fax option.

 

Server fax is an entirely separate thing from Fax forwarding, this device (4265) doesn't do what you want (Fax forward to SMB). It only can do fax forward to another fax number or an email address. It is done as follows:

 

Configuring Fax Forward Settings
1. In CentreWare Internet Services, click Properties > Services > Fax.
2. For Forwarding, click the Pencil icon.
3. For Forward To, select an option.
4. For Forward On, select an option.
− On Outgoing: For outgoing faxes, the printer forwards a copy to the fax number or email
addresses specified.
− On Incoming: For incoming faxes, the printer forwards a copy to the fax number or email
addresses specified.
5. If you select On Incoming, to print a local copy, select Print Local Copy.
6. For From Field Options, set the defaults.
7. For Subject, type the text that you want to appear in the subject line of emails sent from the printer.
8. For Message, type the text that you want to appear in the body of emails sent from the printer.
9. For Signature, type the text that you want to appear as the default signature in emails sent from
the printer.
10. Click Save.

 

 

The optional Server Fax feature enables users to send documents to one or more fax

machines via the telephone network without having a dedicated telephone line connected

to the machine. This is achieved by connecting the machine to a network Fax Server which

can manage fax transmissions throughout an organization. The Server Fax feature uses

Xerox Partner solutions. Refer to your Xerox Representative for further information.

Server Fax and Embedded Fax

The Embedded Fax and optional Server Fax services are mutually exclusive and only one of

them can be enabled at any time.

If Server Fax is currently enabled and Embedded Fax is then enabled, Server Fax will be

disabled automatically.

If Embedded Fax is currently enabled and Server Fax is then enabled, Embedded Fax will be

disabled automatically.

I do realize that the machine has the capability to forward an incoming fax message to an email address, and we are currently using this feature. What we are LOOKING to do is have an incoming fax get forwarded to a folder on the network, pretty much the way that you can scan to a network folder. So for example, a fax comes in, the machine answers, and the incoming fax is delivered to \\SERVER\Faxes\Incoming.  We are able to do this in one of our other locations on our Xerox 5755. I realize that the 5755 is a newer machine and by default has more features. Is there a way for us to get this functionality on our 4265 and if so what do we need to do for this to happen?

I believe the answer is no, as I stated, it cannot fax forward to a folder like almost all other newer, bigger devices can.

 

With Xerox, your only option is a FER (Feature Enhancement Request), This won't be a short process in total. (Think weeks/months, not days)

 

You call Xerox and ask for 2nd level support to do a FER (First level may have no idea what you are asking for)

When you get to 2nd level explain you know it can't be done, but you want to do a FER.

They will get your info (Name, phone,email, address, company name, SN and amount of devices)

They send the request up the line through to Engineering.

Engineering checks if it is possible (almost certainly a yes), if it is feasible and whether they are

A = willing to do it

B = willing to do it for a fee (custom one-off firmware for you)

C = unwilling to do it at all.

Thanks for all of your input so far Joe. I am so lost with all of this. I followed up with the copier company that we deal with to ask why we were sold a component that won't do what we thought that it would. Mind you, I wasn't employed here when all of this went down so I am partially flying in the dark. Their response to my email was:

The fax servers we installed will in fact do the work you need it to do, it is your servers at these locations that can’t process the info.  A “fax client” program must be installed onto your servers in order them to process/see the information being faxed to it, and to process it into the files. 

 

I would really like to figure out how to do what everyone here thought that it would. But I'd also like to know if the copier company is feeding me a load of horse crap. If it is in fact a matter of putting a fax client on the server do you have any suggestions there? Again, thank you so much for all of your input so far!

They would have to explain further. If they actually have an answer they should be supplying it.
