WorkCentre 6655 Fax Forward to SMB Issue

Jump to solution

I am trying to setup a WorkCentre 6655 to forward incoming faxes to a network SMB share on their server. The issue is simply that this is not working. When trying to recieve a fax, it prints a report that states to check the username/password. I am 100% positive that the username and password entered are correct, as I can access and write to the share location from other devies on the network using the credentials. Also, when watching the job in the web interface, it displays the type as "email." There are no rules setup for fax-to-email.

I have tried the following:

Attempted to use both IPv4 and Hostname fields (Hostname enter just as "OURSERVER")

Share has been entered as "OURSERVER\FaxShare", "FaxShare", and "\FaxShare"

Document Path entered as "\FaxShare" and "\"

Any help would be greatly appreciated. Thank You!

Hi
Thank you for using the Xerox forum.

I would suggest that you review the following (which I copied from the Faxing sections of the Administrator guide Page 196)

Page 196

Fax Forwarding

You can configure the printer to forward incoming faxes to email or file destinations by creating a Fax

Forward Rule. For different situations, you can configure up to five rules, and apply them to the available

fax lines.

Note:

After you configure the fax forwarding rule, apply the rule to a fax line.

Editing a Fax Forwarding Rule

1. In CentreWare Internet Services, click

Properties>Services>Fax>Setup.

2. Click

Forwarding>Edit.

3. To base the new rule on an existing rule, next to Based on Rule, select a rule from the menu.

4. Next to Rule Name, type a name for the rule.

5. Select a File Format Type from the menu.

6. Next to Print Local Copy, select

Always to print all incoming faxes. Select On Error Only to print a

copy only if the forwarded fax transmission fails.

7. Add an email address or file destination to the rule.

8. Click

Save.

Adding Email Addresses to the Rule

1. On the Forwarding page, next to the desired rule, click

Edit.

2. To forward to an email address, select

Email.

3. In the Address fields, type the email addresses of the recipients.

4. Type the From Address, From Name, and Subject.

5. To customize the name of the attachment, click

Customize.

a. Under Display, select the check boxes next to Date or Time to add the date or time to the file

name.

b. To customize the file name, type the new name in Custom Text, then click

Add.

c. Under Position, select an item, and click the arrows to arrange the items as you want them to

appear in the file name.

d. Click

Save.

6. Type the Message text for the body of the email.

7. Type the Signature text for the email message.

8. Click

Save.

Adding File Destinations to the Rule

1. On the Forwarding page, next to the desired rule, click

Edit.

2. To forward to a file location, select

SMB Protocol.

3. Select

IPv4 Address or Host Name, then type the address or host name.

4. Type the following information:

a. In the Share field, type the share name.

b. In the Document Path field, type the directory path of the folder.

c. Type a Login Name for the printer to use to access the shared folder.

d. Enter the computer login password for the printer to use to access the shared folder, then

confirm it.

5. To update an existing password, type the new password, then click

Select.

6. To customize the name of the file, click

Customize.

a. Under Display, select the check boxes next to Date or Time to add the date or time to the file

name.

b. To customize the file name, type the new name in Custom Text, then click

Add.

c. Under Position, select an item, and click the arrows to arrange the items as you want them to

appear in the file name.

7. To receive email notifications of forwarded faxes, select Email Notification, then enter your email

address.

8. To send an email confirmation when file transfer is complete, select

Email Notification (without

Attachment) , and type the email address in the Notification Address field.

9. Click

Re: WorkCentre 6655 Fax Forward to SMB Issue

Hi sjenkins428,

First, set up a template to get the settings right instead of having to test repeatedly with faxes, it will make it much easier.

1. Don't use the hostname, that won't work, this device is a "Connectkey" device, they don't support WINS or Microsoft Networking or NetBIOS over TCP/IP, which means if the device is not registered in DNS on a Domain, hostname resolutions will not work.

2. Due to the above, if scanning to Server 2008/2012 you will get a login error if you do not format the username exactly as it is shown on the share in this window (It has to be exactly as shown in the brackets, so add the user directly if it is not already) It doesn't matter how other devices are connected, due to number 1 up above, this one requires this setup.

If, when you create a template with SMB, the port lists as 139, it is very likely you will require a firmware update, it should be 445 for any typical OS running these days (SMB2-3)

Assuming you can reach the location you list from a PC on the network with the share by clicking on the Start menu and typing \\OurServer\FaxShare then the following screenshot is what yours should look like to be successful with exception to the IP address and username obviously being different.

The latest firmware for your device is here, if all the above fails to work, you would need the update.
