Re: Workcentre 5335 Scan to Email with Office 365

Jump to solution

After updating the firmware I tried my gmail account again instead of Office 365, and this time it worked.  If I have free time I'll look through the settings again and try to get Office 365 working, but the gmail account is doing what I need for now.

Thank you for the help!

Hi,

You can try:

Solutions 1:

Mail Alerts Office365, error 027-504

You are able to scan to email using his Office 365 account. However, mail alerts are using that same account, and are not being sent, instead the error 027-504 is logged on the device.

In order to resolve this issue clear out the Administrator's email Address field and clear out the domain field as well.

You can clear the Administrator's email Address and domain in the following CWIS menu.
Administrator's email Address:
Properties > Description >Administrator's E-mail Address:
Domain:
Properties > Connectivity > Protocols > TCP/IP > Domain Name:
With both of these fields cleared Office365 should work properly.

Solutions 2:

027-504 Failed e-mail

1. Email would fail with fault code 027-504 invalid response from smtp server.

2. Invalid response been detected message.

 Resolution

Subject line was being filtered by e-mail server.

1. Change subject line. I tested with my name only.

2. Disable Smart eSolution on CWIS. Properties - General Setup - Smart eSolutions - Registration - Register with Xerox Communication Server - Server Communication - Enabled - unchecked.

An invalid entry means it found the server but does not understand what the server stated back. Which means DNS has to be fine, else it would not have found the server that gave it the ability to make a request from the server in order to get back a response it did not understand.

As far as I know, the 53XX on the latest firmware that I linked is the only way for it to work with Office365, it is the firmware that resolved the issue where the printer did not have the ability to use SHA-2 for encryption, which would cause the error you are getting and 017-714.

Assuming you have logged into the email account the printer is using and did not get a "You must change the password now" message, and you did not enable 2-factor auth on the account (Both of those things cannot be understood by a printer and could cause your fault) then the only thing left is to do a Wireshark trace of the data on the LAN going between printer and Microsoft to see what the message is that it can't understand. If you can get that trace done, Xerox (assuming you have a maintenance agreement) should be able to figure out what is happening if you cannot.

I downloaded that new firmware and changed the Login to SMTP AUTH.  Now the error is "027-504: Invalid SMTP server's response".  The DNS is set to Obtain Automatically and the Preferred DNS server matches the Primary DNS from our Cox modem/router combo.  Does that make the DNS entry valid?

Update your firmware to this release.

Tick the box for SMTP AUTH.

Confirm your DNS entries are valid

Workcentre 5335 Scan to Email with Office 365

Product Name: Other - specify product in post

We had Scan to Email working through a GoDaddy account, but we recently switched to Office 365 email and I cannot get it set up properly.  I've tried every setup configuration I could find online. POP before SMTP gives me "POP server comm timeout" and SMTP AUTH gives me "DSN server un-sets up in SMTP" or "Server un-supports SMTP-AUTH".  I made sure the system clock was accurate and I just updated the firmware.  These are the most recent settings I tried and seem closest to the Office 365 instructions and what all the forum posts recommend.  Is there something wrong here?
