Check Network Connection:
Ensure that the Xerox WorkCentre 7845 is properly connected to the network. A stable network connection is crucial for scanning to email.
Verify that the printer has an active and stable internet connection.
Restart the Printer:
As you mentioned, restarting the printer temporarily resolves the issue. Continue to do this when the problem occurs.
Check if there are any firmware updates available for your Xerox WorkCentre 7845. Updating the firmware can sometimes fix software-related issues.
Review the scan settings on the printer. Ensure that the email settings, such as the SMTP server and email address, are correctly configured.
Check if there are any restrictions or settings on your email server that might be affecting the scanning process.
Lower the scan resolution settings on the printer. High-resolution scans can sometimes cause issues, especially if the network or email server has limitations.
Scan to Alternate Destinations:
If available, try scanning to a different destination, such as a USB drive or network folder, to see if the issue is specific to email scanning.
If there is a queue of pending scan jobs, try clearing it and restarting the scanning process.
Ensure that you have the correct and up-to-date scan driver installed on your computer or the device initiating the scan.
If the issue persists despite trying the above steps, it's advisable to contact Xerox customer support or your organization's IT department. They can provide specific guidance for your printer model and may need to diagnose and resolve the issue remotely or through on-site support.
Service and Maintenance:
Consider scheduling regular maintenance for the printer to ensure it operates optimally. This can help prevent recurring issues.
So where I work we use a xerox workcentre 7845. To scan i enter my email and it usually works fine. But sometimes it will say scanning but does not complete. This happens about 3 times a day. We have to restart the printer and try again. Usually it goes back to work but only for about 10 scans then we have to do it again. When it works it says "complete". When its not work it will only say "scanning" and eventually the job times out. If someone could help it would be greatly appreciated.
