I'm having exactly the same problem.

Thank you for the work-around solution - I too would like to also secure the printer properly so that any computer on the network must login with a valid username and password.

A quick follow-up on this subject... I am experiencing that the driver does not acknowlegde the account ID as authentication for printing, but instead the %username% value from windows... As a result I consequently receive (017-792) and (017-798) that basically means that the user is not authorized to print...

On the other hand, if I the create a user with the %username% variable from windows i get authorized to print, but the charge/count can be set to any valid account ID. So basically I print to someone elses expense. I have been testing with borth normal print and personal print and the result is the same. Only difference is that I manually have to "release" the print. The charge goes to "account ID" regardles me logging in to the acoount created as %username%...

I am really confused and cannot find any information on how to set this up regardless of who is logged on to my windows pc. Not to mention apple complications as soon as they are to be set up for this new printer.

Any suggestions to what I am doing wrong?

Still I little confuse about the XSA system. I have a Versalink B605 and we have users and clients.

The users no matter how many prints do but the clients will bill.

So every user prints from their computer the User ID will be unique and need to input the 2 digits code for the Account ID 99 or 12.

But the report is important to us, so to the end of the month what I will get

Jason prints of Account ID 99  100 total

Mark prints of Account ID 99    120 total

Instead to get the Account ID 99 prints 220 total?

What system I need to select? or make the clients as User ID?

If users would like to require login using a username/password - set the login method via the Embedded Web Server to Local (as this will require users to enter a password). There is also an option to pick an existing username from a list, or type into a username field if that is preferred.

Go to Embedded Web Server and navigate to Permissions > Login/Logout Settings > Select Local as Login Method. NOTE: changing the Login Method will delete any existing User Accounts. So, ensure the Login Method is set PRIOR to creating any User Accounts. The User Account is the Xerox Standard Accounting (XSA) User ID (in driver) and the Account Name/Account ID in the downloadable Report.

 

Also, General Accounts are typically only used when charge back is required. For example, if a user works in a Law Firm (as example) and needs to charge usage back to specific clients, these would be set up as General Accounts - in which Xerox Standard Accounting would increment usage providing a total usage number in the downloadable Accounting Report. Limits can be set directly on each User Account to limit usage (in which limit decrement). Usage can be limited on Copy/Print/Scan/Fax and will be tied back to Account Name/Accound ID in the downloadable Report.

 

Once XSA is enabled, the print driver should automatically prompt for User ID (with the option to select General Account and associated Account ID). If this does not occur something is incorrectly configured in the print driver (ie. Prompts are turned off or Bi-Directional Communication is turned off within the driver properties). Note: the C7025 has a specific driver that can also be used in addition/instead of the Global Print Driver that MAY work better in this environment (difficult to predict based on many variables).

 

With regard to Secure Print - this is an entirely different feature, and has a workflow designed to require the user to be in front of the device to release their print job for security purposes. The job does not automatically print when the user logs in to Accounting because that user may just be there to make a copy, or have multiple Secure Print jobs waiting for them that they do not want to all automatically print when they log in to the device. Different workflow and purpose than accounting.

No password in XSA, you could I suppose replace the passcode with a group/general code.

 

This device has Standard Accounts and General Accounts. For all extensive purposes, think of General Accounts as Group Accounts.

 

With Standard Accounts, this device no longer uses ID’s per say.

When you create a Standard Account you are asked to enter a User Name, That is It..

The Username is your User ID

As you can see in the report, I made 3 prints total. My username and ID are the same. This is as design, since there is no means to create a User ID for a Standard User. Which personally, I would think would be easier.

Honestly, I think it would be best to generate the report without the User Name, since the User Name and the ID are the Same, Reports are a little more clean.

Now…

If you MUST have a User Name and a User ID, this can be done using General Accounts. However, there is a caveat.

 

First, create a General Account with the same User Name as the Standard User, then access the Standard User Account , Click ‘Edit’ under Accounting and then add (“Link”) that user to its corresponding General Account.

Now, for the Caveat.. When printing the General Account would need to be set in order to track properly.

 

For example..

However , these can be set as a default using ‘Accounting Codes’, or as long as ‘remember last code’ is enabled, you will not need to enter the information in each time. The caveat though still remains, that users can still print by NOT entering the account ID

Here when looking at the reports, you would only Track the General Account, but you can still see which users do not use the account ID as if they have any totals from their top section.

After all this is Said..

 

The device is working as designed

Hello,

 

My organisation has started using a Xerox VersaLink C7025 to replace a canon copier. The old copier used a User ID and Passcode system to manage print numbers and to charge departments for the printing they performed on site, and they are adamant that the service be recreated on the new Xerox. I have been experimenting with the accounting system, and haven't been able to find any suitable guidance on how this would be set up:

 

I was able to get the printer to accept jobs according to the user code by creating each code as a User Account and as a General Account on Xerox Standard Accounting, but the job would then cancel at the printer (with the error code suggesting it didn't recognise the username or password). I was then able to get the printer to prompt for a user ID and passcode by setting the driver to be secure print only, but as a result the job waits in the print queue displaying as 'transferred', with no obvious way of actually releasing the job on the local device.

 

Is there a definitive guide anywhere to setting up accounting on these devices? If not, does anyone have any advice on how I should adjust my current setup to sort this functionality out?

 

The printer is networked and connected to a print server using the Xerox Global Print Driver PCL6.
